Effective date: August 29, 2026 1. Scope This Privacy Policy applies to the Key Gardener Chat Monitor, an internal, read-only operations application used by The Key Gardener. 2. Information processed The application may process message content and associated metadata from one Google Chat space specifically authorized by The Key Gardener. Associated metadata can include sender display name, message timestamp, thread or reply context, and reactions when available. 3. Purpose The information is used to support operational follow-up, including identifying unclear ownership, unanswered operational questions, upcoming or overdue commitments, unresolved decisions, and unaccepted handoffs. 4. Access limits The application is restricted to the designated Google Chat space in which it is installed. It is not designed to access direct messages or unrelated spaces, send or modify Chat messages, rank employees, assign employee performance scores, or infer employee intent. 5. How information is handled The connector does not intentionally copy raw Chat messages into a separate permanent database. Authorized reports may contain limited excerpts or summaries when needed to explain an operational issue. Reports and task history may remain in authorized Google Workspace, Google Cloud, or OpenAI/Codex systems according to The Key Gardener’s configured retention settings. 6. Sharing and service providers Access is limited to authorized Key Gardener management and service providers needed to operate the application, including Google Workspace, Google Cloud, and OpenAI/Codex. The Key Gardener does not sell this information or use it for advertising. Information may also be disclosed when required by law or necessary to protect rights, safety, or security. 7. Employment decisions Monitoring results are operational prompts for human review. They should not be treated as definitive findings or used as the sole basis for an employment decision. Relevant context and the affected employee’s explanation should be considered. 8. Security The Key Gardener uses access controls, least-privilege permissions, and a read-only design intended to reduce unauthorized access or alteration. No system can guarantee absolute security. 9. Retention and deletion Information is retained only as long as reasonably needed for operational, security, legal, or compliance purposes and is deleted or allowed to expire under applicable system-retention settings when no longer needed. 10. SECURITY — Users must protect credentials, follow access controls, and promptly report suspected unauthorized access. • 7. AVAILABILITY — The application is provided for internal operational assistance and may be changed, suspended, or discontinued. No guarantee is made that outputs are complete, current, or error-free. • 8. RESPONSIBILITY — Authorized users remain responsible for decisions and actions taken based on application output. • 9.
